Xerox - Nationwide Carrier Training
Nationwide Training & Documentation Ecosystem for Xerox’s Carrier Network
Xerox needed a scalable system to train its national delivery and installation partners, while also centralizing more than 200,000 technical documents tied to its product catalog. We designed a comprehensive LMS, built all training content, managed certification standards, and rebuilt Xerox’s documentation infrastructure from the ground up—creating a unified environment that keeps engineering updates, field teams, and customer requirements fully aligned.

Background & Objectives
Xerox operates a nationwide network of carriers and installers responsible for transporting, installing, and testing its full range of machines and accessories. These environments often carry strict client requirements, security expectations, and installation protocols that vary by site and product type.

To support that scale, Xerox needed two things:
-
A modern training and certification system that could evolve with its equipment lineup and installation standards.
-
A fully restructured documentation management platform capable of organizing, updating, and distributing massive volumes of technical content across engineering, carriers, and customer-facing teams.
The objective was to create a high-integrity operational ecosystem that elevates consistency, accuracy, and field performance across the entire distribution network.
Our Role
MAXMedia Partners designed, built, and managed the entire end-to-end system. We conducted extensive discovery across Xerox engineering leadership, logistics partners, customer sites, and internal operations. From that foundation, we developed a custom LMS, produced all interactive training materials, and built a certification framework aligned with safety standards, compliance requirements, and real-world installation workflows.
As the program matured, Xerox expanded the engagement - tasking MMP with complete oversight of its technical documentation library. We migrated, indexed, standardized, and modernized more than 200,000 documents, transforming an unwieldy archive into a centralized, searchable knowledge engine.
Solution Overview
Training & Certification System
MMP’s training platform was engineered to serve the full carrier lifecycle - from onboarding to ongoing recertification.
Key components included:
-
Consultation with engineering teams to capture technical detail
-
Executive alignment for safety, compliance, and brand standards
-
Coordination with 45+ distribution partners
-
Customer-specific requirements embedded into learning modules
-
Scenario-based simulations for each equipment category
-
Certification tied to new releases, change orders, and instruction updates
-
Recertification cycles to maintain long-term compliance
Modules covered packaging protocols, delivery and install workflows, testing procedures, troubleshooting, and customer engagement.
Documentation Management System
After the training system proved its value, Xerox engaged MMP to modernize its entire documentation library.
Our work included:
-
Migration of 200,000+ documents from Google Docs to a Confluence platform
-
Hierarchical re-indexing by machine, accessory, customer, update cycle, and service category
-
Standardized naming conventions, formats, and version control
-
Enhanced access, searchability, and permissions
-
Reduced administrative workload through automation and improved organization
-
Continuous updates tied to new product releases and policy changes
The result was a centralized, fully indexed environment that scaled with Xerox’s engineering and service operations.

Creative & Technical Hi-lites
-
Scalable LMS architecture supporting ongoing equipment evolution
-
Nationwide compliance tracking for carriers and installers
-
Live synchronization between engineering updates and training content
-
Zero-loss migration of a 200,000+ document archive
-
Unified knowledge base improving both internal workflows and field accuracy
-
High-trust, long-term partnership built on precision and operational reliability
Outcome & Impact
The integrated system delivered a step-change in consistency and performance across Xerox’s national distribution network. Carrier teams installed equipment with greater accuracy and predictability. Engineering updates flowed seamlessly into both training and documentation. Customer sites experienced fewer errors, faster installs, and tighter alignment with technical requirements.

The documentation overhaul dramatically reduced administrative burden while giving Xerox a reliable, centralized source of truth for all technical knowledge. Together, these systems strengthened safety, quality, and brand integrity nationwide - establishing a modern operational foundation that continues to support Xerox today.
